Exhibitors must respect the policies set by WFC 2026 and the Oakland City Center Marriott and Convention Center, and must comply with any directives of the staff of both organizations.
Failure to do so in a significant manner could be cause for a cancellation of the contract, and/or removal from the WFC 2026 environs without reimbursement of your table fees or membership costs, and possibly hotel costs. Please see the Code of Conduct for further clarification. The following will be in force for the duration of the WFC 2026:
- No solicitation or pressure sales will be allowed.
- While we understand that private sales between individuals may occur outside of posted hours, a publicized “trunk show” or, dealing from hotel rooms, is not allowed.
- Exhibitors can only operate within their assigned space. Please do not overflow into your neighbors area, and be respectful and don’t block the frontage of their space. Nothing can be outside of your designated space, nor hinder the circulation of attendees or other exhibitors that need to move in and out of their space.
- Exhibitor badges cannot be transferred, sold, or lent. They will have the individual’s name printed on them, and must be worn by all exhibitors at all times within all WFC 2026 programming and exhibition spaces.
- Dealers must inform us in advance if they wish to share tables with another dealer.
- Further, dealers may not sublet space on their tables without asking and receiving permission to do so. (This does not apply to taking books on consignment for sale.)
- Installations within your booth may not be higher than 9’, must be considered safe by a World Fantasy 2026 staff member, and cannot be supported by the walls nor lean on them to avoid damaging them in any way. If you have any questions, contact dealers@wfc2026.org BEFORE investing in display pieces.
- Nothing can be hung, taped, glued, or otherwise attached to any of the walls. You will be asked to remove anything thus displayed.
- Electricity requests will be reviewed upon closing of the application process. There will be no extra charge for using electrical outlets, but they will be assigned first come, first served.
- Vendors may eat and drink in their booths, but please discard food waste and trash at the end of the day in the trash bins provided. Do not leave open food or drink containers in your booth overnight.
- At the end of the convention, the vendor must leave their space as it was upon their arrival. You will be checked out by a volunteer, once you have packed up and are ready to load out via the loading dock (in adherence with union rules). The exhibitor must assume all responsibility for any repairs or material damage they may have caused.
- Merchandise for sale must be lawful and legal in and of itself and not be in violation of any copyright, patent, or trademark.
- The sale of any bootleg or illegally imported items is specifically prohibited.
- The burden of legitimacy is on the dealer; anything questionable will be removed from sale by the Dealer Liaison.
- Any type of raffle, draw, or a game of chance with a cost associated with it is not allowed. Any such must be free and open to all members.
- Dealer shall not set up any sound system or video presentations.
- WFC 2026, at the discretion or request of the Co-Chairs, the Dealer Liaison, or other members, has the right to ask the dealer to remove any objectionable materials or merchandise from their space. This includes any items not specifically included that will be for sale as outlined in the dealer’s application; e.g., you applied to sell signed books, and were accepted, but you stock your booth with Hello Kitty stickers instead.
- Dealer will have their space set up and functioning during all four days of the convention, during the open hours as specified by the WFC 2026, including the Bookfair on Sunday.
- EXCEPTION: if the dealer is on a panel, and is the only one at their table. In that case, their table(s) must be covered, money taken with the dealer, and a sign (provided by the WFC 2026) will be put on the table noting when the dealer will return.
- Dealers agree to release, absolve, and hold blameless the WFC 2026, including the Oakland Marriott City Center, the WFC 2026 convention committee, SFSFC, Inc., and all other agents thereof against all costs, damages, losses and liabilities resulting from any accident, bodily injury, or property loss occurring to any person or persons including exhibitor, exhibitor’s agents, and/or employees, or attendees of the convention arising out of or resulting from the exhibitor’s use and occupancy of the exhibit area or any part thereof.
- World Fantasy 2026 does not guarantee any specific attendance figures for the convention and/or any expected sales figures for the dealer during the weekend of the convention. Dealers assume all financial risks associated with setting up at WFC 2026.
- Dealer agrees that neither the WFC 2026 nor its management, either individually or as a group, shall be responsible for merchandise that may be lost, stolen, damaged, or destroyed while on OMCC premises or during transport to or from the WFC 2026.
- It may behoove said dealer to carry event insurance for the duration of the WFC 2026. If you have homeowners or renters insurance, enquire with your carrier about special events insurance.
- The Convention leases space to dealers to display and sell merchandise. Dealers are solely responsible to make certain all merchandise displayed and/or sold at the Convention is lawful and legal in and of itself; that it is not in violation of any copyright, patent, or trademark; that it was obtained in a lawful manner; and that its display and/or sale does not violate any statute or ordinance.
Dealers warrant that all merchandise does comply with these requirements and agree they shall
make good any damage, cost, loss, or penalty incurred by breach of this warranty. In addition,
the Dealers agree that WFC 2026, SFSFC, Inc., and the Oakland City Center Marriott and
Convention Center, separately or collectively, shall be held harmless in case of any violation.

The Parties hereto have expressly agreed that this Agreement as well as all other documents
relating to the convention.
THE DEALER MUST ATTEST THEY UNDERSTAND AND AGREE to abide by the terms
outlined above and the WFC 2026’s Code of Conduct. A statement to this effect will be part of
the application.
